Job Purpose
The Programme Management Assistant provides crucial support to the Natural Resources and Food Security Section (NRFSS) within UNECA's Climate Change, Food Security and Natural Resources Division. Under the direct supervision of the Chief of Section, this role is instrumental in facilitating the planning and implementation of complex program and project initiatives. The assistant will manage workflow, coordinate diverse activities, and ensure timely delivery of outputs. Key functions include organizing meetings, processing consultant recruitment, assisting with budget proposals and monitoring, and liaising with various units to ensure smooth project execution. This position contributes to the division's mandate of enhancing climate resilience and achieving food security by supporting administrative and substantive project management processes.
Responsibilities
The Programme Management Assistant supports the planning and implementation of departmental program and project initiatives. Responsibilities include providing substantive and administrative support for section management, coordinating workflow, and monitoring activities to ensure timely delivery of directives. The role involves organizing meetings, processing consultant recruitment, and assisting in program/project planning and preparation. Budgetary tasks include assisting with proposal analysis, budget guideline interpretation, and monitoring expenditures. The assistant will also support program/project monitoring and evaluation, track data, and prepare reports on budgets and expenditures. Additionally, the role involves liaising with stakeholders on reporting requirements, drafting program summaries, coordinating publication processes, and serving as a focal point for project implementation activities. This includes managing administrative actions, personnel recruitment, travel arrangements, and procurement. The assistant will maintain files and databases, generate reports, draft correspondence, provide guidance to junior staff, and assist with data analysis and information material updates.
Work Experience
Seven years of experience in program or project administration, technical cooperation, general office support, or administrative services is required. One or more years of experience in data analytics is desirable. Experience with administrative policies, processes, and procedures is also desirable.
