Job Purpose
The Programme Assistant will support the management and coordination of two regional trade programmes in Central Africa (ECCAS ATCMA and ECCAS Services). This role is crucial for achieving programme targets by assisting programme managers with administrative tasks, including recruitment, travel, legal affairs, grants, procurement, and staff administration. The position involves extensive liaison with various units to ensure smooth implementation of activities, monitoring progress, and reporting on delivery. The Programme Assistant will also provide general office support, manage correspondence, maintain records, and organize meetings, contributing directly to the effective execution of these EU-funded initiatives aimed at fostering trade and economic integration in the region.
Responsibilities
Assist in coordinating the planning and preparation of two regional programmes, monitoring proposals and documentation. Compile and present programme data and information. Review programme documents, cost plans, and budgets for compliance and accuracy, distributing approved documents. Process budget revisions, verify fund availability, and ensure system entry. Act as a liaison for administrative coordination of programme activities, including recruitment, travel, payments, and procurement. Compile and enter programme delivery data, drafting status reports and identifying issues. Draft correspondence on budget matters and prepare periodic reports and summaries. Provide general office assistance, manage inquiries, correspondence, and files. Organize meetings and workshops, and handle routine administrative tasks. Provide guidance to junior staff and perform other assigned duties.
Work Experience
A minimum of five years of experience in programme or project administration, technical cooperation, or a related field is required. Three years of experience is acceptable for candidates with a completed university degree. Experience with ERP systems (e.g., Umoja), the Central Africa region, and the UN common system is desirable.
