Job Purpose
The Programme Management Assistant supports the Head of the Southern Africa Sub-Regional Office in coordinating programme and project planning and preparation. This involves monitoring proposals, reviewing project documents for compliance, and managing budgets and finances. The role also serves as a key administrative liaison for programme implementation, facilitating actions such as recruitment, travel, payments, and procurement. Additionally, the incumbent compiles data, drafts reports, provides general office support, and assists with information management and material updates to ensure efficient programme delivery and support decision-making.
Responsibilities
Assists in coordinating programme and project planning, preparing work plans, and monitoring proposals. Reviews project documents, including cost plans and budgets, for completeness and compliance. Manages budget revisions, verifies fund availability, and ensures proper system entry. Acts as a focal point for administrative coordination of programme implementation, liaising with various units for recruitment, travel, payments, and procurement. Compiles and enters project delivery data, drafting status reports and highlighting issues like shortfalls or budget overruns. Provides general administrative support, drafts correspondence, prepares reports and summaries, maintains files, and organizes meetings. Offers guidance to junior staff and assists with data collection, analysis, presentations, and updating information materials.
Work Experience
A minimum of five years of experience in programme or project administration, technical cooperation, or a related area is required. This minimum is reduced to three years for candidates with a first-level university degree. Experience with the UN or similar international organizations is desirable, as is one year of experience in data analytics.
