CLAIMS ASSISTANT
Organizational Context
This Claims Assistant position is situated within the UNSMIS Unit in The Hague, part of the Medical Insurance Section, Financial Resources Management Service, Division of Administration, at the United Nations Office at Geneva. The role reports directly to the Chief of Unit, contributing to the operational efficiency of the section.
Job Purpose
The Claims Assistant plays a crucial role in supporting the UNSMIS Unit's operations by providing essential front-office services and managing accident claims. This involves accurately informing clients about regulations, procedures, and claim statuses, handling inquiries via various channels, and maintaining client records. The position also involves assisting the Chief of Unit with administrative tasks, including IT coordination, staffing advice, and procedural recommendations. Furthermore, the role acts as a backup for accident claims processing, ensuring timely registration, guidance to members, and preparation of necessary documentation. The Claims Assistant is vital for maintaining client satisfaction and ensuring the smooth functioning of the Medical Insurance Section.
Responsibilities
The Claims Assistant is responsible for providing comprehensive front-office services, including welcoming clients, responding to inquiries via phone and email, and providing accurate information on UNSMIS rules, regulations, and claim statuses. This includes managing client interactions in stressful situations and creating necessary work orders. The role also involves assisting the Chief of Unit by determining IT requirements, advising on staffing and scheduling, aiding in staff screening, and drafting operational proposals. As a backup for accident claims, the assistant will register accident claims, guide insured members on third-party liability, and prepare related documentation. General office duties include drafting correspondence, issuing certificates, managing prior authorization requests, updating client data in the MIUS database, and filing. The position requires flexibility to cover for absent colleagues and perform other assigned tasks to ensure efficient operations.
Work Experience
A minimum of seven years of experience in administrative services, client services, or benefits administration is required. This requirement is reduced to five years for candidates with a first-level university degree. Experience within the UN Common System or a similar international organization is desirable, as is experience working with diverse teams and ERP systems like Umoja.
