Job Purpose
The Staff Assistant provides crucial administrative and substantive support to the Director's office, ensuring efficient management of priorities, workflow, and diverse activities. This role acts as a key communications link, managing schedules, handling correspondence, and preparing background materials for reports and presentations. The incumbent will also manage information requests, support meeting organization, and maintain administrative systems to ensure the smooth functioning of the office. This position contributes to the overall objective of enhancing development in North Africa by supporting the Director's strategic initiatives and operational efficiency.
Responsibilities
The Staff Assistant is responsible for comprehensive administrative support to the Director's office, including managing priorities, workflow, and diverse activities to ensure timely delivery of management directives. This includes compiling and analyzing data, serving as a communication liaison between the supervisor and senior staff, and managing the supervisor's time and schedule effectively. The role involves handling correspondence, screening and prioritizing incoming communications, and preparing background materials for reports and presentations. Additionally, the Staff Assistant will manage information requests, support meeting and event organization, maintain filing systems, and ensure quality control for outgoing documents. Responsibilities also extend to producing complex documents, managing databases, updating websites, and assisting with data collection and analysis for reporting and decision-making.
Work Experience
A minimum of seven years of experience in administration or general office support is required. Experience in data analytics, office management, organizing conferences/workshops, and knowledge of ERP systems are desirable.
