Job Purpose
The Project Assistant will provide crucial administrative and facilitation support for the 'Support for the development of a pathway to 2025 Nationally Determined Contribution (NDC) of Papua New Guinea (PNG)' project. This involves managing project timelines, budgets, and financial reporting in alignment with UNOPS requirements. The role ensures smooth project execution by liaising with stakeholders, processing payments and travel, procuring services, and maintaining accurate project documentation. The assistant will also proofread documents and contribute to the overall efficient administration of project activities, ensuring compliance with relevant standards and facilitating the achievement of project objectives related to PNG's climate change commitments.
Responsibilities
The Project Assistant is responsible for the comprehensive administration and facilitation of project implementation activities. This includes developing a clear understanding of project objectives, timelines, and activities, and managing administrative and financial aspects. Key duties involve tracking project budgets, ensuring alignment with ESCAP and UNOPS financial reporting requirements, and preparing financial reports. The role requires liaising with internal and external teams to facilitate recruitment, process payments, arrange travel, and manage procurement of goods and services for consultations. The assistant will develop and monitor project timelines, ensure adherence to administrative deadlines, and respond to correspondence. Additionally, the role involves tracking project balances, reporting financial information, monitoring processes for outputs and tasks, verifying document accuracy and compliance, and proofreading documents for quality and adherence to standards. The assistant will also proactively identify and implement mechanisms to streamline administrative transactions and support the organization of meetings and workshops.
Work Experience
A minimum of 3 years of work experience in an administrative or secretariat field is required. Experience within the United Nations System is desirable. Competency in Microsoft Office and other relevant software/tools is expected.
