Pension Administration Assistant
Organizational Context
The International Organization for Migration (IOM) in the Philippines seeks a Pension Administration Assistant. This role operates under the general supervision of the Head of IOM Pension Administration and the direct supervision of the National Pension Administration Officer, supporting the administration of the UN Joint Staff Pension Fund (UNJSPF).
Job Purpose
The Pension Administration Assistant is responsible for supporting the efficient administration of the UN Joint Staff Pension Fund (UNJSPF) for IOM participants. This involves meticulous data management, verification, and communication to ensure accurate participant records and timely processing of pension-related matters. The role plays a crucial part in maintaining participant data integrity within the PRISM system, coordinating with HR and participants, and facilitating the smooth operation of pension services. By ensuring accurate documentation and adherence to UNJSPF procedures, the assistant contributes to the overall financial well-being and administrative compliance of IOM staff regarding their pension entitlements.
Responsibilities
Key duties include collaborating with UNJSPF participants and HR personnel to collate and verify participant records against HR and UNJSPF data. This involves maintaining UNJSPF numbers in PRISM, requesting participant contracts for eligibility verification, and running data extraction reports. The assistant will communicate with participants to complete necessary forms, receive and verify submitted data, and prepare reports for UNJSPF registration or updates. Responsibilities also encompass maintaining electronic and physical filing systems, tracking changes in participant records, coordinating with separated participants for documentation, and monitoring pending benefit cases. Additionally, the role involves drafting routine correspondence, maintaining strict confidentiality, and performing other related duties as required.
Work Experience
Required experience includes HR/administrative or finance roles related to social security schemes, pensions, and entitlements, preferably within a UN environment and the UNJSPF. Experience in data verification, rule interpretation, and implementation is essential. Strong analytical and problem-solving skills with attention to detail are necessary. Familiarity with SAP/Oracle and the UNJSPF or similar pension systems is advantageous.
Skills
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) is required. The candidate should possess sound knowledge of basic finance/accounting principles and internal controls, and be comfortable learning new software and reporting tools.
