Organizational Context
The International Organization for Migration (IOM), established in 1951, is a leading intergovernmental organization focused on migration. This role operates under the overall supervision of the Project Coordinator and direct supervision of the National Officer (Operations).
Job Purpose
The primary purpose of this role is to provide technical and administrative support for the implementation of emergency projects. This involves planning, managing, accompanying, and monitoring projects from both technical and financial perspectives. The position contributes to the effective execution of IOM's emergency response initiatives, ensuring adherence to organizational standards and project guidelines. By supporting project activities, the role plays a crucial part in facilitating humane and orderly migration and assisting vulnerable populations during emergencies, aligning with IOM's core mandate.
Responsibilities
Key responsibilities include supporting the formulation, implementation, and monitoring of national and territorial project activities, ensuring compliance with IOM procedures and technical guidelines. The role involves collecting, compiling, analyzing, and presenting project-specific data and information. Budget planning and expenditure tracking are essential, requiring verification of fund availability and obtaining necessary approvals. The position acts as a focal point for administrative coordination, liaising with internal units and external parties to manage requests and approvals. Preparing progress reports, identifying limitations, and proposing corrective actions are also key duties. Additionally, the role entails drafting correspondence, preparing reports and documentation, responding to information requests, and reporting events to the Communications unit. Participation in meetings, coordinating with stakeholders, providing technical assistance to partners, and supporting knowledge management and training processes are also expected.
Work Experience
Required experience includes proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Previous experience with SAP is a significant advantage. Experience in project planning, budget management, working with governmental entities, and project execution is essential. Administrative and operational experience in project implementation is also required. Prior work with international humanitarian organizations, governmental, or non-governmental institutions in a multicultural setting is advantageous. Experience with IOM's PRIMA, PRISM, and WAVE information systems is desirable.
