This Senior Project Assistant role supports IOM's emergency response coordination and implementation in Colombia.
Job Purpose
The Senior Project Assistant plays a crucial transversal support role in coordinating IOM's humanitarian response in Colombia. Under the direct supervision of the Emergency Coordinator, this position facilitates information exchange among programmatic, operational, and administrative teams to ensure timely, efficient, and coherent implementation of emergency interventions. The role contributes to project development, resource mobilization efforts, activity monitoring, report preparation, and coordination with humanitarian and governmental actors. This function is integral to supporting the overall coordination and execution of emergency responses within the IOM framework, ensuring effective and coordinated action in critical situations.
Responsibilities
The Senior Project Assistant will support the Emergency Coordinator in planning, implementing, and monitoring humanitarian response activities and projects in Colombia. This includes tracking work plans, timelines, and operational commitments, identifying bottlenecks, and reporting them to the supervisor. The role involves collecting and consolidating programmatic information from field offices, technical units, and implementing partners to aid decision-making. Responsibilities also include preparing documentation for project proposals, concept notes, budgets, donor reports, narrative reports, presentations, and situation reports. Facilitating coordination among mission units (programs, operations, logistics, procurement, finance, HR, security) regarding operational requirements and tracking emergency activities is key. The assistant will support the organization and follow-up of coordination meetings with government entities, UN agencies, NGOs, and donors, and participate in humanitarian coordination mechanisms and inter-agency working groups. Contributing to rapid needs assessments, response planning, operational analyses, and emergency preparedness exercises is also part of the role, alongside monitoring the humanitarian context and preparing updates for senior management. The position may involve field missions for coordination, monitoring, and project support, and documenting best practices and lessons learned.
Work Experience
Experience in managing and implementing humanitarian or emergency response projects is required. Experience in inter-institutional coordination with government entities, UN agencies, NGOs, and donors is necessary. Project monitoring, report preparation, and programmatic follow-up experience are essential. Experience in proposal development and resource mobilization is a plus. Working in humanitarian or emergency contexts is required. Knowledge of humanitarian coordination mechanisms and IOM's areas of intervention is advantageous.
