This role is based in the IOM Washington D.C. global office.
Job Purpose
The Finance Associate, under the supervision of the National Resource Management Officer and Senior Finance Associate, plays a crucial role in supporting the financial operations of the IOM Washington D.C. global office and its sub-offices. This position involves assisting in the management of financial resources, processing payments, ensuring compliance with IOM financial rules and regulations, and supporting the financial aspects of locally implemented projects. The role contributes to the efficient and accurate tracking of project expenditures, adherence to donor agreements, and the overall financial integrity of the organization's operations, ensuring that financial activities align with IOM's mandate and objectives.
Responsibilities
The Finance Associate will assist in managing financial resources by monitoring and controlling assets, reserves, and funds in accordance with IOM regulations. Key duties include processing invoices and payment requests, reviewing charges to project line items for accuracy and proper allocation, and ensuring expenses align with project budgets. The role involves assisting staff with financial services such as travel and expense claims, and maintaining systematic completion of accounting documents. Responsibilities extend to processing financial transactions in the IOM accounting system, reconciling invoices and credit card transactions, and providing guidance on accounting and treasury payments. The associate will also support the financial management of locally implemented projects, assist in preparing financial reports for donors, and update financial information in project proposals. Additional duties include performing financial analyses, reconciling account balances, monitoring outstanding vendor accounts, processing treasury transactions, performing bank reconciliations, and assisting with check issuance and period-end activities.
Work Experience
The role requires experience in financial operations, including assisting with financial resource management, processing payments, and ensuring compliance with financial rules and regulations. Experience in supporting financial aspects of projects, reconciling accounts, and utilizing accounting systems is beneficial. The position is under the supervision of senior finance staff and involves coordination with various internal units.
Skills
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Strong attention to detail and organizational skills. Ability to work with national and international institutions. Capacity to prepare clear and concise reports. Demonstrated ability to exercise sound judgment. Knowledge of IOM's administrative, budgetary, financial, and business rules and practices. Excellent communication and negotiation skills.
