Job Purpose

The Supply Chain Assistant, under the supervision of the Supply Chain Coordinator and overall guidance from the Chief of Mission and Head of Resources Management Officer, is responsible for managing the mission's resources management functions. This role supports the organization's mandate by ensuring efficient and compliant supply chain operations. The assistant will collaborate with various units to manage procurement, logistics, and administrative tasks, contributing to the effective delivery of IOM's services and support to people on the move. The position plays a key role in maintaining operational continuity and supporting the mission's objectives through diligent resource management.

Responsibilities

The Supply Chain Assistant is responsible for managing procurement processes, including receiving and consolidating requisitions, preparing tender documents, and coordinating bid analyses. They will prepare purchase orders and contracts, monitor delivery of goods and services, and process vendor payments. The role involves maintaining procurement records, conducting market surveys to identify and evaluate suppliers, and managing contractual agreements. Additionally, the assistant will oversee asset management, warehousing, insurance, maintenance, and transportation, including monitoring vehicle logs and fuel consumption. They will also support meeting organization and provide guidance on procurement procedures to staff.

Work Experience

Required experience includes procurement and logistics, working with vendors and service providers, and managing asset processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, and working in an international organization, are considered advantageous.

Skills

High level of computer literacy; ability to work with national and international institutions; ability to prepare clear and concise reports; excellent communication and negotiation skills; ability to establish realistic resource requirements.
