This G6 level position operates under the direct supervision of the Senior HR Assistant and general supervision of the National Human Resources Officer, providing essential support to the unit.

Job Purpose

The Senior Administrative and Human Resources Associate will provide comprehensive support to the IOM unit in Washington D.C. This role is crucial for the efficient functioning of administrative and human resources operations, ensuring compliance with organizational policies and procedures. The associate will contribute to various HR processes, including recruitment, onboarding, payroll, and administrative tasks, directly impacting the smooth operation of the office and the well-being of its staff. The position plays a key role in maintaining accurate records, facilitating employee services, and supporting the overall HR and administrative objectives of the IOM mission in the United States.

Responsibilities

The role involves extensive support in recruitment processes, including screening applications, coordinating interviews, and preparing job offers. It also encompasses managing pre-employment activities, such as onboarding documentation and medical clearances, and ensuring accurate data entry and maintenance in Oracle HR. The associate will oversee attendance and leave administration, process various HR actions like separations and promotions, and maintain systematic archiving of HR documents. Additionally, responsibilities include monitoring compliance with the Staff Evaluation System, coordinating HR events and training, and providing information on entitlements. The position also handles payroll processing, administrative tasks like correspondence management and visa coordination, and supports financial processes such as purchase requisitions.

Work Experience

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Prior experience with Oracle HR systems is a significant advantage. Experience in a multi-cultural setting, particularly within international humanitarian organizations or government institutions, is desirable. The role requires meticulous attention to detail and organizational skills.
