Medical Administrative Assistant
Organizational Context
The International Organization for Migration (IOM) in Tunisia seeks a Medical Administrative Assistant. This role operates under the overall supervision of the Chief of Mission, the Migration Health Officer, and the direct supervision of the Senior Project Associate Migration Health. The position supports the administrative functions of the Migration Health Division.
Job Purpose
The Medical Administrative Assistant will provide essential administrative and logistical support to the IOM Tunisia Migration Health Division. This role is crucial for the efficient implementation of health-related projects, ensuring compliance with IOM standards, donor requirements, and organizational procedures. The position contributes to the effective management of financial resources, medical supplies, and outreach activities. By maintaining accurate records, facilitating communication, and supporting beneficiary services, the assistant plays a key role in the division's operational success and its mission to assist vulnerable migrants through health services.
Responsibilities
Support the Migration Health Division with administrative and logistical tasks for project implementation, adhering to IOM standards and donor requirements. Assist in managing financial resources by tracking assets, reserves, and medical supplies according to IOM regulations. Prepare purchase requests and support financial document submissions for direct assistance to migrants and manage petty cash for medical referrals via OIPA. Aid in the implementation of health outreach activities, including event organization and logistics. Compile medical case reports, maintain beneficiary files, and prepare statistical reports, ensuring data protection and recording all assistance on relevant IOM systems (MiMosa, Kobo tracker, donor matrices). Ensure timely dispatch and sharing of appointment schedules to the medical team, verify data accuracy, and distribute lists. Maintain updated lists and inform staff of data distribution updates. Liaise with other teams for referrals and tasks, and support beneficiary contact for appointments. Perform other duties as assigned by supervisors.
Work Experience
Requires knowledge of medical office management systems and procedures, and experience with Microsoft Suite, particularly Excel sheets. Previous experience with international humanitarian organizations or governmental institutions in a multicultural setting is advantageous. Familiarity with medical terminologies or migration issues, including migrant rights and protection, is also beneficial.
