Job Purpose
This role is crucial for supporting IOM's mission by ensuring effective financial management and budgetary oversight for migration-related projects. The Budget Associate will contribute to the organization's ability to manage resources efficiently, track expenditures accurately, and maintain compliance with donor requirements. By providing timely financial reports and forecasts, the position directly supports project managers in achieving project objectives within allocated budgets. The role also plays a part in maintaining robust financial systems and processes, ensuring transparency and accountability in all financial operations. Ultimately, this position helps IOM to deliver on its mandate of promoting humane and orderly migration and assisting people on the move.
Responsibilities
The Budget Associate is responsible for researching and compiling cost data to establish reasonable unit costs for budgetary purposes, including conducting market rate analyses twice annually to identify budget variances. They will proactively notify project managers of foreseen surplus balances in S&O budgets at least three months in advance to facilitate necessary revisions or budget utilization strategies. Key duties include maintaining a proper filing system for project documents, coordinating with project managers to ensure accurate cost allocation against budget lines, and assisting with staff projectization tasks in the PULSE system. The role involves forecasting expenditures in coordination with project managers to ensure timely budget utilization and monitoring financial reports to verify expenditure alignment with approved budgets and cost eligibility using donor templates. Additionally, the associate will manage interim and final financial report deadlines, coordinate with procurement and operations departments for commitment clearance, prepare financial reports for donors, and handle mail correspondence for necessary financial transactions. Any other assigned duties are also within the scope of this role.
Work Experience
Required experience includes financial management, budgeting, and systems review. Additionally, experience in accounting, finance, banking, and treasury is necessary for this role.
Skills
Excellent computer skills (Word, Excel, Internet) and strong interpersonal and communication skills are essential for this position.
