Job Purpose
The Project Assistant (IBG) in Jakarta supports the execution and delivery of border management programmes within IOM Indonesia. Reporting to the Senior Project Associate, this role is crucial for facilitating project activities and providing essential administrative and clerical support. The position contributes to IOM's commitment to orderly, safe, and regular migration by assisting in the implementation of initiatives aimed at enhancing immigration and border governance. This includes supporting programme operations, maintaining documentation, and contributing to communication efforts related to IBG projects, ensuring effective programme delivery and operational efficiency.
Responsibilities
Provide general and clerical support for Immigration and Border Governance (IBG) project activities, including trainings, meetings, and workshops. Assist in note-taking, reporting, and translating materials between Bahasa Indonesia and English. Support administrative coordination by liaising with internal and external parties to process requests and follow up on actions. Update project monitoring tools and documentation under guidance. Retrieve, compile, and summarize information for project reporting and communication. Draft status reports, correspondence, and other documentation. Assist in developing visibility products and communication initiatives, including social media content and success stories. Respond to information requests and maintain project files. Perform other related duties as assigned.
Work Experience
Experience liaising with governmental authorities, international institutions, UN agencies, and NGOs is required. Knowledge of migration issues and border management in Indonesia is advantageous. Previous experience in developing social media content, publications, and drafting is a plus. Ability to manage workload and work effectively in a multicultural environment is essential.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint). Strong communication and writing skills. Ability to operate design software (e.g., Photoshop, Canva) is advantageous. Demonstrates personal commitment, efficiency, flexibility, creative thinking, and attention to detail. Ability to work harmoniously with diverse colleagues.
