Job Purpose
This Project Assistant (IBG) position in Jakarta supports the implementation of Immigration and Border Governance (IBG) programmes and provides essential administrative assistance. Reporting to the Senior Project Associate, the role contributes to IOM's mission of facilitating orderly, safe, and regular migration. The incumbent will assist in project execution, data compilation, and coordination with various stakeholders, ensuring effective support for IBG initiatives in Indonesia. This role is crucial for the smooth operation and successful delivery of IBG projects, aligning with IOM's commitment to addressing diverse migration and border management challenges.
Responsibilities
Assist in the implementation and monitoring of Immigration and Border Governance (IBG) projects. Retrieve, compile, and summarize project-related data. Provide administrative coordination, liaising with internal units and external parties for clearances and actions. Maintain an efficient project filing system. Draft correspondence, reports, and other documentation. Prepare status reports, track payments, verify invoices, and reconcile expenditures. Manage petty cash and reimbursements. Support financial tracking, record-keeping, and reporting according to IOM standards. Organize meetings, workshops, and training sessions. Respond to general inquiries and maintain project files. Participate in relevant training and development opportunities. Perform other assigned duties, including potential travel.
Work Experience
Requires knowledge of migration, border security, and management in Indonesia. Experience in UN agencies is preferable. Relevant training and field experience in project implementation and development, including stakeholder training, are beneficial. Basic project management knowledge is desirable.
Skills
Attention to detail. Ability to manage workload effectively. Skill in working in multicultural environments and maintaining professional relations. Computer literacy, especially in databases and spreadsheets. Ability to prepare clear, concise reports and analyze data.
