The IOM Cairo Mission seeks to support governmental and non-governmental partners in managing migration effectively. This role provides crucial administrative and operational support to the mission's human resources functions.

Job Purpose

This role is designed to provide comprehensive administrative and operational support to the Human Resources (HR) functions within the IOM Cairo Mission. The incumbent will work under the direct supervision of the National Human Resources Officer and the overall supervision of the Head of Resources Management. The position is critical for ensuring the smooth and efficient execution of HR processes, contributing to the mission's operational effectiveness and its commitment to fostering a supportive and inclusive workplace environment. The role supports the IOM's mandate to promote humane migration and assist people on the move by ensuring that HR operations are managed effectively and in compliance with organizational policies and procedures.

Responsibilities

Key responsibilities include coordinating recruitment processes, from drafting Terms of Reference and posting vacancies to screening applications, conducting interviews, and preparing job offers. The role also involves managing pre-employment activities, such as preparing documentation for new hires, coordinating medical examinations, and facilitating induction sessions. Maintaining the accuracy and integrity of HR data within the organizational system, including employee records, entitlements, and contractual status, is essential. Additionally, the position oversees attendance and leave administration, prepares personnel-related documentation for various HR actions (e.g., separations, promotions), and ensures timely reporting. Archiving HR documents, monitoring performance evaluation compliance, and coordinating staff development activities are also core duties. The role includes providing guidance to staff on HR matters, identifying areas for process improvement, and potentially training junior staff.

Work Experience

Prior work experience with international humanitarian organizations, non-government, or government institutions in a multicultural setting is advantageous. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is required. Experience with SAP is a distinct advantage. Key attributes include attention to detail, methodical organization, discretion, client orientation, patience, and a willingness to learn.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of HR Systems, including Oracle applications. Strong organizational and time management skills.
