The Supply Chain Assistant role is situated within the Resources Management Unit.
Job Purpose
The Supply Chain Assistant will provide essential support to the Resources Management Unit in organizing and executing procurement activities for IOM Indonesia. This role is crucial for ensuring the timely and efficient acquisition of goods and services necessary for the organization's various programs and projects. The incumbent will assist in obtaining quotations, managing tendering processes, processing purchases, and coordinating the delivery of items. Furthermore, the position contributes to maintaining accurate records, supporting vendor management, and ensuring compliance with IOM's procurement and logistics procedures, thereby facilitating the smooth operation of IOM's mission in Indonesia.
Responsibilities
The Supply Chain Assistant is responsible for managing procurement requisitions, verifying their completeness and compliance, and preparing tender documents. This includes soliciting bids, preparing bid analysis summaries, and processing approved purchases by confirming terms, preparing documentation, and obtaining authorizations. The role involves monitoring open requisitions, ensuring timely delivery of goods and services, and coordinating with receiving units for confirmation. Additionally, the assistant will review vendor invoices, prepare payment requests, and liaise with the Finance Unit for timely payments. Maintaining procurement records, conducting market surveys to identify new suppliers, and evaluating vendor performance are key duties. The position also supports asset management, warehousing, transportation coordination, and monitoring contractor activities on office premises.
Work Experience
The role requires good knowledge and experience in procurement, logistics, administration, and operations. Experience working with IOM/UN Procurement and Logistics Rules and Procedures is advantageous, as is prior experience in an international organization.
Skills
Proficiency in preparing clear and concise reports, analyzing data, and possessing knowledge of SAP and/or Oracle systems is beneficial. The ability to effectively source goods and services, manage vendor relationships in compliance with procedures, and a high level of computer literacy, particularly in Microsoft Excel, are essential.
