Job Purpose
The Operations Assistant - Charter Movements role is crucial for supporting the operations team in Tripoli, Libya, ensuring the smooth and efficient execution of charter movements in compliance with IOM procedures. The incumbent will facilitate the coordination of flight requests, passenger manifests, and necessary permits, working closely with various internal units and external counterparts. This position directly contributes to the safe and orderly transit of migrants, supporting IOM's mandate to provide services and facilitate pathways for regular migration. The role ensures that all logistical aspects of charter movements are managed effectively, from initial requests to final reporting and file closure, thereby upholding IOM's commitment to assisting people on the move.
Responsibilities
Coordinate charter flight requests with CMM and receiving missions, distributing Advance Booking Notifications and ensuring compliance with SOPs. Manage daily coordination with IOM airport staff, finance, medical, and other units on charter movement issues. Arrange ground transportation for migrants from Embassies/detention centers to departure points. Liaise with the Medical Unit to ensure timely completion of required medical procedures. Ensure all ready-to-travel migrants are included in the final manifest to prevent last-minute issues. Prepare accurate and timely movement statistical reports. Maintain and control Proflight files, ensuring timely closure and handover for invoice processing. Perform other assigned duties as required.
Work Experience
Prior experience in Movement Operations or transportation is a strong advantage. Proficiency in computer skills (Word, Excel, Internet) is required. Experience with Movement Operations-related databases and systems (e.g., iGATOR, MiMOSA, SAR, Amadeus) is highly desirable.
