Job Purpose
The Program Assistant - Grants Management and Implementing Partners will serve as a key focal point for ensuring that activities implemented by partners align with donor requirements, IOM policies, and project work plans. This role is crucial for promoting a coherent and effective approach to engaging with local partners. The incumbent will be responsible for the coordination and monitoring of operational, administrative, and financial aspects of these partnerships. This position contributes to the successful execution of IOM's projects by ensuring smooth collaboration and compliance with all stakeholders involved in program implementation, thereby supporting IOM's mission to promote orderly migration.
Responsibilities
The Program Assistant will provide operational oversight for implementing partnerships, monitoring progress against workplans, budgets, and deliverables, and identifying implementation gaps. Responsibilities include assisting in the development of work plans, budgets, M&E tools, and SOPs. The role involves coordinating the collection, verification, and analysis of partner data, updating information systems, and preparing project-related materials. Support will be provided for the review of partner selection processes and conducting capacity and risk assessments. The assistant will manage partnership agreements, track deadlines and deliverables, and liaise with partners and government counterparts. Additionally, the role contributes to capacity-building activities for partners and ensures compliance and audit readiness by archiving supporting documents and tracking recommendations. Field monitoring and other assigned duties are also part of the role.
Work Experience
Required experience includes administrative and management tasks, project monitoring, and administrative/financial oversight. Experience with implementing partner management, compliance reviews, or monitoring processes within international organizations or NGOs is essential. Experience supporting partner due diligence, capacity assessments, and risk assessments is also required.
Skills
Strong understanding of partnership management and institutional compliance frameworks. Strong analytical and problem-solving skills. Ability to work effectively in multicultural and multidisciplinary environments. Proficiency in MS Office (Word, Excel) and data analysis.
