Organizational Context
The International Organization for Migration (IOM) in Türkiye seeks a Programme Associate in Istanbul. This role supports the FAP National Officer and Senior Program Associate by streamlining visa application services for German family reunification, resettlement, and evacuation cases, ensuring efficient processing and beneficiary assistance.
Job Purpose
The Programme Associate is responsible for assisting in the efficient and effective streamlining of visa application services for German family reunification, resettlement, and evacuation caseloads. This involves managing beneficiary interactions, processing applications accurately, maintaining case management systems, and providing essential information and guidance to applicants. The role contributes to the smooth operation of the FAP Center by ensuring timely and accurate data entry, file management, and communication with applicants and relevant authorities, thereby facilitating the visa application process for vulnerable individuals and families.
Responsibilities
Key duties include assisting beneficiaries daily at the FAP Center and managing case files. This involves processing family reunification visa applications by registering appointments, creating case files in Dynamics 365, distributing files, collecting biometric data, and ensuring file completeness. The role requires conducting applicant interviews to record case histories and biographical information, ensuring accuracy and adherence to donor requirements. Data entry into the FAP case management software, including verifying information and scanning/translating documents, is crucial. The associate will organize and schedule appointments, update the case management system with application data, and provide accurate information and guidance to migrants regarding visa requirements and procedures. Responsibilities also include organizing applicant files for the German Consulate, maintaining records, reporting issues and suggesting improvements, and ensuring confidentiality and data protection. Additionally, the role involves flagging vulnerable cases, handling hardship and medical cases, coordinating with relevant departments, and supporting resettlement missions by preparing visa applications. The associate will also manage office facility maintenance, act as an admin focal point, and assist with training new staff.
Work Experience
Previous work experience in international organizations, service industry companies, or non-government/government institutions in a multicultural setting is considered an advantage.
Skills
Demonstrated ability to maintain accuracy and confidentiality. Proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Publisher). Strong interpersonal and intercultural skills. Attention to detail and methodical organization of paperwork. Discreet, client-oriented, patient, and willing to learn.
