This role supports IOM's contribution to the UN CP's smooth functioning and consistent service delivery, operating under the Supply Chain Officer and IOM Resource Management Officer.
Job Purpose
The Procurement and Logistics Associate plays a crucial role in ensuring the efficient operation of the UN Common Premises (UN CP) in Dhaka. This position supports IOM's mandate within the UN CP by facilitating smooth management and operations, contributing to the consistent delivery of essential services. The associate works collaboratively with the Building Management Committee, IOM team, and other UN agencies to exchange information and enhance common service delivery. The role is integral to the UN's Reform Programme, promoting a unified and cost-effective UN presence at the country level, ensuring procurement and logistics processes are transparent, efficient, and high-quality.
Responsibilities
The Procurement and Logistics Associate is responsible for managing procurement and logistics processes to ensure efficient common services. Key duties include receiving and verifying procurement requisitions, preparing tender documents, soliciting bids, and conducting bid analyses. The associate will confirm supplier agreements, prepare purchase orders, and monitor timely delivery of goods and services. Responsibilities also encompass organizing supply and re-supply of commodities, inspecting incoming goods, reviewing vendor invoices, and coordinating payments. The role involves contributing to administrative and logistic systems, ensuring compliance with IOM regulations, and monitoring office premises and related service contracts. Additionally, the associate will assist in space allocation, contribute to budget preparation, liaise with service providers, coordinate maintenance and repairs, and manage inventory verification.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and asset management processes. Experience with UN procurement and logistics rules, international organizations, and office/facility management is advantageous. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is essential.
Skills
Excellent communication skills. Knowledge of SAP and Oracle is highly desirable. Ability to work with national and international institutions. Capacity to prepare clear and concise reports. Skill in maintaining data on Long-Term Agreements (LTAs) and managing their renewals. Good understanding of UN Common Services operating systems.
