Job Purpose
This Senior Administrative and Cash Based Interventions (CBI) Associate role, under the supervision of the Protection Coordinator and AVR National Project Officer in IOM Costa Rica, is responsible for the comprehensive management of administrative, logistical, and CBI requirements for the program. The role ensures efficient and effective implementation of CBI activities in line with IOM policies, global standards, and donor agreements. It involves coordinating operational, administrative, and financial aspects, identifying suitable transfer mechanisms and financial service providers, and developing Standard Operating Procedures (SOPs) to enhance CBI delivery.
Responsibilities
Manage and monitor complex correspondence and documentation, ensuring accuracy and timely routing. Serve as a reference point for administrative procedures, conducting research and drafting responses to inquiries. Prepare briefing materials for supervisors by gathering and presenting information from various sources. Schedule appointments, meetings, and travel arrangements, and coordinate logistical aspects of high-level meetings. Review and edit reports and publications for consistency with IOM standards. Liaise with senior staff on office matters and ensure smooth information flow. Coordinate and process administrative actions in HR, contracts, procurement, accounting, and finance using IOM systems. Provide guidance and training to staff on administrative issues and coordinate support staff. Plan, implement, and supervise project activities for CBI, ensuring compliance with IOM policies and donor requirements. Identify and monitor financial service providers for CBI implementation. Develop SOPs and technical guidelines for efficient CBI delivery. Supervise administrative and logistics staff to enhance team capacity and output quality. Review and propose improvements to systems and processes within the area of responsibility.
Work Experience
Prior experience in international humanitarian organizations, non-government, or government institutions within a multicultural setting is advantageous.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong attention to detail and organizational skills. Discreet, client-oriented, patient, and willing to learn. Expertise in Administrative Management and CBI. Problem-solving and adaptability. Financial oversight capabilities. Understanding of compliance and accountability.
