Job Purpose
The Project Associate-Admin/Programs plays a crucial role in supporting IOM's mission by ensuring efficient administrative and programmatic operations. This position contributes to the effective implementation of IOM's projects and initiatives by managing procurement, logistics, and asset management processes. The role supports the overall objectives of the organization in promoting humane migration and assisting people on the move. By coordinating essential services and maintaining operational standards, the Project Associate directly impacts the successful delivery of IOM's mandate in the region, ensuring resources are utilized effectively and project activities are supported seamlessly.
Responsibilities
The Project Associate-Admin/Programs is responsible for coordinating and supporting procurement activities, including managing purchase requests, bidding processes, and supplier payments. This includes assisting with complex purchases, developing procurement plans, and participating in negotiations. The role also involves providing technical guidance on procurement procedures, identifying and evaluating suppliers, and maintaining procurement documentation. Additionally, the associate will support supply chain activities related to property and asset management, fleet operations, and office facilities maintenance. They will coordinate supply chain operations with partners and UN agencies, and provide training and supervision to junior staff. Active participation in inter-agency meetings and forums related to supply chain management is also expected.
Work Experience
Required experience includes project administrative and logistics management, encompassing planning, organizing, and controlling administrative and supply chain processes. Proficiency with administrative management systems, ERP platforms, and advanced Microsoft Office applications is necessary. Experience supervising personnel, coordinating logistics, and working with international humanitarian organizations or UN agencies is also essential.
