Job Purpose
This role is crucial for the efficient operation of the Migration Health Assessment Centre (MHAC) in Harare, Zimbabwe. The Medical Assistant will be responsible for managing the call centre function and supporting various administrative and data processing tasks within the MHAC. The primary purpose is to provide essential information and services to migrants regarding health assessments and IOM services, ensuring smooth applicant processing. This position contributes to the overall delivery of IOM's health assessment programs by maintaining accurate records, scheduling appointments, and facilitating communication between migrants, medical staff, and other stakeholders, thereby supporting the organization's mandate to assist governments and migrants.
Responsibilities
The Medical Assistant will support the coordination and efficient operation of the call centre, providing migrants with information on health assessments via phone. Responsibilities include registering migrants, scheduling and confirming appointments, and relaying messages. The role involves preparing master lists for service providers and maintaining daily statistics. Additionally, the incumbent will perform data processing at reception, explaining registration, verifying identities, entering biodata, capturing photos, and printing necessary documents. This includes receiving and processing medical forms, packaging files for mobile missions, and transmitting completed documents. Filing correspondence, checking payment proofs, and other assigned duties are also part of the role, requiring flexibility across different tasks within the MHAC.
Work Experience
Experience is required in computer data entry, elaboration, and analysis, or in a call centre within a busy institution, preferably medical. A typing speed of at least 60 words per minute is necessary. Knowledge of data management principles and customer care is essential. High computer literacy in Windows and MS Office is mandatory. Previous experience with NGOs or international organizations is an advantage.
Skills
Intermediate MS Office skills, analytical skills, excellent communication skills, and fast, accurate typing are required. Leadership skills are desirable.
