Job Purpose
The Administrative Associate, Finance will be responsible for ensuring the sustainability, transparency, and reliability of the program's finances within the Mamou sub-office. This role involves coordinating the planning, implementation, and monitoring of logistics and procurement activities in strict compliance with IOM rules, procedures, and donor requirements. The incumbent will oversee financial operations, maintain accurate records, process payments, manage treasury functions, and assist in budget monitoring and financial reporting. This position is key to supporting IOM's mission in Guinea by ensuring efficient resource management and compliance, thereby strengthening the organization's support to people on the move.
Responsibilities
The Administrative Associate, Finance is responsible for overseeing the financial integrity of the Mamou sub-office. Key duties include controlling accounting documents, preparing monthly closings and submissions to the main office, and ensuring proper financial record-keeping. The role involves verifying invoices and supporting documentation before payment processing, and managing travel expense claims. Additionally, the incumbent will maintain an effective banking system, including monthly reconciliations, manage sub-office treasury, including fund transfers and cash controls, and assist program staff with budget monitoring. The position also requires preparing financial reports, dashboards, and other tools to optimize financial resource management, and promptly informing management of project financial status.
Work Experience
Requires documented professional experience, with a proven track record of at least 3 years in finance and accounting. Experience working with international organizations is highly desirable. Proficiency in computer tools, especially accounting software, and experience with integrated management systems are advantageous. The candidate must demonstrate personal commitment, flexibility, and the ability to work effectively under pressure in a multicultural environment.
Skills
Proficiency in finance, accounting, and financial management. Knowledge of relevant Guinean regulations and contractual relationships. Basic management skills for budget elaboration and monitoring. Familiarity with financial management and asset management regulations is a plus. Fluency in French is required; English proficiency is an asset.
