Job Purpose
This role supports the coordination of administrative and financial activities for a project aimed at providing targeted care interventions to unaccompanied migrant children (UMC) and other vulnerable individuals in Greece. The project leverages IOM's expertise in child protection to offer tailored support to implementing partners and directly assist UMC through accommodation and care services in Emergency Accommodation Facilities (EAFs). The successful candidate will operate under the direct supervision of the National Cluster Coordinator (UMC) and the overall supervision of the Deputy Chief of Mission, ensuring the smooth administrative and financial execution of project operations and contributing to the well-being of vulnerable populations.
Responsibilities
The Administrative Assistant will manage administrative and financial operations for the assigned facility, including maintaining accurate expense records and supporting documentation for implementing partners. Responsibilities include assisting in the development and implementation of Standard Operating Procedures (SOPs) and operational guidelines, and providing technical support to partners. The role involves tracking deliverables, managing Non-Food Item (NFI) inventory, monitoring shortages, and assisting with the distribution of basic goods. Additionally, the assistant will maintain records for IOM vehicle usage, conduct site visits for monitoring administrative tasks, and support procurement procedures for low-value items. They will also monitor staff attendance and leaves, coordinate with the Budget Monitoring Unit for report consistency, and oversee vendor performance for facility services, ensuring quality and addressing shortfalls.
Work Experience
Previous experience in a similar administrative role is preferred. Familiarity with direct assistance to migrants and/or refugees is advantageous. Prior experience working with children and in a multicultural environment is also preferred.
Skills
Strong organizational, facilitation, communication, writing, and presentation skills. Computer literacy in standard software applications (MS Office, etc.). A valid driver's license with at least five years of driving experience is an advantage. Personal commitment, efficiency, and flexibility are essential.
