Organizational Context
The International Organization for Migration (IOM) in the Philippines seeks a Sr. Accounting Associate for its Manila office. This role operates within the Global Shared Services Centre (GSSC) Finance Hub, specifically under the Accounting Supervisor – Travel Claims. The position is crucial for ensuring efficient and compliant processing of travel claims across assigned regions.
Job Purpose
The Sr. Accounting Associate will be responsible for supervising and coordinating the processing of travel claims for assigned regions, ensuring strict adherence to IOM Travel Rules and Regulations. This role involves providing guidance and training to Travel Claims Assistants, acting as a key point of contact for regional offices on travel claims and related financial matters, and contributing to the overall financial integrity of the organization. The position supports the GSSC Accounting Supervisor and the Chief of the GSSC Finance Hub in managing travel-related financial operations effectively.
Responsibilities
Supervise and coordinate the processing of travel claims, including workload allocation and performance monitoring. Act as the primary liaison between Headquarters, Administrative Centers, and regional/country offices. Approve travel expense claims, ensuring compliance with IOM Travel Rules and Regulations, and prepare/generate invoices. Provide technical support and clarification to claimants. Monitor outstanding claims and advances, prepare internal reports, and support audits. Participate in developing and updating SOPs, recommending procedural improvements, and assisting with internal/external audits. Train and mentor new staff and conduct workshops on travel policies and application usage. Manage the GGSC Travel Claims mailbox and collaborate with the Travel Application Development Team on system-related issues.
Work Experience
Requires strong knowledge of accounting systems (including Oracle), generally accepted accounting principles, internal controls, and audit procedures. Prior supervisory experience in finance or accounting functions is necessary. Experience within international organizations or shared service centers is preferred, and audit experience is advantageous.
Skills
Excellent analytical and problem-solving skills. Strong supervisory and mentoring abilities. Proficiency in MS Office and financial systems. Knowledge of IOM Travel Policies and Regulations.
