Organizational Context
IOM, established in 1951, is a leading inter-governmental organization promoting humane and orderly migration. IOM Thailand implements initiatives to strengthen migration governance, partnering with government, private sector, and civil society. This role sits within the Labour Mobility and Social Inclusion (LMI) Unit, supporting the "Strengthening Labour Migration Governance in Thailand for Resilience, Inclusion and Evidence-Based Planning (THRIVE)" project. The Project Assistant reports to the Project Manager and National Project Officer.
Job Purpose
The Project Assistant plays a pivotal role in supporting the implementation of the "Strengthening Labour Migration Governance in Thailand for Resilience, Inclusion and Evidence-Based Planning (THRIVE)" project. The primary purpose of this position is to provide comprehensive administrative, logistical, and programmatic assistance, ensuring the smooth and efficient execution of project activities. The incumbent's contribution is vital for strengthening labour migration governance in Thailand by enabling national institutions to effectively utilize evidence-based research and inclusive digital systems. This informs robust labour migration policies and national development planning, particularly as Thailand addresses demographic shifts and evolving labour market demands. The role directly supports efforts to integrate migration into national development processes, enhance migration-related data and information systems, and improve access to skills development and recognition opportunities for migrant workers. By coordinating events, managing documentation, and facilitating operational processes, the Project Assistant ensures the effective delivery of project outputs and contributes significantly to promoting humane and orderly migration.
Responsibilities
The Project Assistant is responsible for providing comprehensive support across various facets of project implementation and administration. This includes actively assisting in the execution and monitoring of project activities, which involves retrieving, compiling, summarizing, and presenting critical information and data on specific project topics. A significant part of the role entails supporting the administrative coordination of project implementation, requiring effective liaison with diverse organizational units and external partners to initiate requests, secure necessary clearances, and process and follow-up on administrative actions. The incumbent will also be responsible for organizing and coordinating meetings, workshops, and training sessions. Financial oversight includes monitoring contracts and project budgets, verifying the availability of funds, obtaining necessary approvals, and maintaining updated budget-related information. Furthermore, the Project Assistant will draft various documents such as status reports, highlighting any shortfalls in delivery for the supervisor's attention, as well as correspondence, reports, briefing notes, graphics, and presentations. The role also involves responding to general information requests and inquiries, establishing and maintaining accurate files and records, and undertaking other relevant duties as assigned to ensure the project's smooth operation.
Work Experience
Required experience includes supporting project implementation, coordination, and administration within a multi-stakeholder environment, and organizing events, workshops, consultations, or trainings. Desirable experience includes familiarity with labour migration, social inclusion, migrant protection, or related development priorities. Experience in data collection, information management, or reporting, and working with international organizations, development agencies, or UN organizations is also desirable.
Skills
Strong organizational, coordination, and time management skills are essential. The role requires strong drafting, communication, and interpersonal skills, along with the ability to monitor project activities, contracts, deliverables, and deadlines. Experience supporting procurement, financial, and administrative processes is needed. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and the ability to work effectively in a multicultural team environment are also required.
