Job Purpose
The Human Resources Associate, under the general supervision of the Resources Management Officer and direct supervision of the Human Resources Officer, will be responsible for coordinating human resources functions within the IOM Senegal Country Office. This role involves supporting recruitment processes, managing pre-employment activities, ensuring accurate HR system data, and handling various HR-related tasks. The associate will contribute to a respectful, inclusive, and supportive work environment, enabling staff to thrive professionally and feel valued, thereby enhancing IOM's support for people on the move.
Responsibilities
Support the coordination of recruitment processes, including guiding hiring managers, preparing terms of reference, advertising vacancies, pre-screening applications, and participating in interview panels. Manage pre-employment activities such as preparing onboarding documents, coordinating medical examinations, and facilitating orientation sessions. Maintain accurate HR system data, ensuring consistency and correctness, and process personnel actions, contract extensions, and related documentation. Act as Timekeeper, managing leave balances, generating reports, and advising staff on leave procedures. Prepare documentation for staff departures, classifications, promotions, and disciplinary cases, coordinating with relevant IOM offices. Generate HR reports, draft correspondence, and maintain systematic filing of HR documents, both electronic and physical. Monitor performance appraisal processes and provide guidance on system usage. Organize HR-related events, including staff development and training activities. Inform staff about their rights and responsibilities, and identify areas for process improvement.
Work Experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Prior experience with SAP is an advantage. Experience in international humanitarian organizations, NGOs, or governmental institutions in a multicultural setting is beneficial. Detail-oriented with methodical document organization skills. Discretion, client service orientation, patience, and a willingness to learn are essential.
Skills
Knowledge of HR policies, procedures, and administrative processes. Strong organizational, communication, and interpersonal skills. Proficiency in Microsoft Office and HR information systems. Ability to ensure accuracy, confidentiality, and attention to detail. Capacity to prioritize, meet deadlines, and work effectively in a multicultural environment.
