This Project Assistant role operates under the Chief of Mission and Community Stabilization Programme Coordinator, supporting the EU for Communities programme.
Job Purpose
The Project Assistant will provide crucial support to the implementation of the EU for Communities programme. This involves working under the direct supervision of the Community Stabilization Programme Coordinator and in close coordination with various governmental counterparts, municipal authorities, civil society organizations, and other stakeholders. The role contributes to the effective delivery of migration-related services and advice, aligning with IOM's mission to promote humane and orderly migration for the benefit of all. The position is integral to ensuring the successful execution of project activities and achieving program objectives within the specified scope.
Responsibilities
Key responsibilities include assisting in the implementation and monitoring of project activities, retrieving, compiling, and summarizing project-related data. The role involves monitoring budgets, verifying fund availability, and updating financial information. Administrative coordination of project implementation is essential, requiring liaison with diverse units and external parties. The Project Assistant will draft status reports, correspondence, briefing notes, and other documentation, while also organizing meetings, workshops, and training sessions. Responding to general inquiries, maintaining files, and performing other assigned duties are also part of the role.
Work Experience
Required experience includes providing administrative and operational support for project implementation, coordinating activities, workshops, and events. Experience in preparing reports, correspondence, and project documentation is necessary. Candidates should also have experience in budget monitoring, financial documentation, and data collection/analysis. Experience with government counterparts and international organizations is advantageous.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Strong organizational, coordination, drafting, communication, and interpersonal skills. Ability to compile, analyze, and present information clearly. Knowledge of project management principles, monitoring tools, and reporting requirements. Familiarity with financial/administrative procedures and budget monitoring. Ability to work under pressure and meet deadlines.
