Job Purpose
The Supply Chain Assistant in Tripoli, Libya, provides essential procurement support to both external and internal clients, operating under the direct supervision of the Supply Chain Officer. This role is crucial for ensuring efficient and client-oriented service delivery within the supply chain function. The assistant will contribute to the smooth operation of procurement processes, ensuring compliance with organizational procedures and supporting the overall mission of IOM in managing migration effectively and humanely. The position plays a key part in facilitating the acquisition of necessary goods and services to support IOM's programs and operations in Libya.
Responsibilities
The Supply Chain Assistant is responsible for managing procurement requisitions, ensuring they are complete and compliant with IOM policies. This includes supporting the preparation of tender documents, bid solicitations, and drafting bid analysis summaries. Upon approval, the assistant will prepare purchase orders, contracts, and coordinate necessary authorizations. They will monitor contract implementation, track the delivery of goods and services, and verify accurate record-keeping. Additionally, the role involves reviewing vendor invoices, preparing payment requests, and maintaining procurement documentation. The assistant will also assist in identifying and evaluating potential new suppliers and monitoring contractual agreements.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is essential. Experience with Enterprise Resource Planning (ERP) software like SAP or Oracle is a distinct advantage. The role requires experience in procurement and logistics, working with vendors, and managing asset processes. Familiarity with IOM/UN procurement rules and procedures, and experience in international organizations or multicultural settings are also beneficial.
