Job Purpose
The Senior Finance Associate is responsible for managing the organization's financial operations, including budgets, transactions, and reporting. This role ensures adherence to financial policies and procedures, provides essential financial guidance to staff and management, and supports efficient resource allocation. Key contributions include maintaining accurate financial records, facilitating payroll administration, managing vendor relationships, supporting audit processes, and conducting financial monitoring to promote accountability and informed decision-making across the organization.
Responsibilities
Provide procedural guidance and supervision to finance support staff. Prepare comprehensive budget, accounting, financial, and statistical reports. Manage financial resources by monitoring and controlling assets, funds, and supplies in line with IOM regulations. Offer specialized advice on financial and administrative matters to Project Managers and Heads of Office. Prepare annual budget submissions and revisions, estimating costs for staff, rentals, and operational expenses. Monitor compliance with financial policies and regulations, consolidating data into financial statements and tracking expenditures against authorized levels. Provide regular and ad hoc financial information to support decision-making. Assist in monitoring bank reconciliations and manage payroll processing, including validity checks. Ensure disbursements are properly authorized and documented. Respond to audit queries and follow up on recommendations. Review and monitor vendor accounts and verify vendor claims for accuracy and compliance.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is essential. Previous experience with SAP is advantageous. Experience working with international humanitarian organizations or governmental institutions in a multicultural setting is also beneficial. Strong organizational skills and attention to detail are required.
