Organizational Context
The International Organization for Migration (IOM) Office in Tegucigalpa, Honduras, is seeking a Human Resources Assistant. This role operates under the supervision of the Resources Management Officer and the Senior Human Resources Assistant, collaborating with Headquarters and Administrative Centres to manage resource functions within the office.
Job Purpose
The Human Resources Assistant is responsible for managing key human resources functions within the IOM Office in Tegucigalpa, Honduras. This role supports the overall operations by ensuring efficient and accurate HR processes, including recruitment, pre-employment activities, HR system management, timekeeping, and administrative support. The position contributes to the effective functioning of the office by maintaining HR records, facilitating staff onboarding and separation, and providing essential HR information and support to colleagues. The role is crucial for maintaining compliance and operational efficiency in human resources management.
Responsibilities
Support end-to-end recruitment processes, including vacancy posting, application screening, interview coordination, reference checks, and candidate communication. Manage pre-employment activities, such as preparing documentation, coordinating medical exams, and facilitating orientation sessions. Accurately input and maintain HR data in the organizational system, monitor contractual status, and generate reports. Administer timekeeping and leave management, ensuring accuracy and providing guidance to staff. Assist with separation, classification, reclassification, and promotion processes by collecting documentation and coordinating approvals. Maintain organized electronic and physical HR filing systems. Draft HR-related documents, update organizational charts, and support meeting and training logistics. Respond to general HR inquiries and perform other related duties as assigned.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Experience with HR systems like Wave is advantageous. Prior experience in international humanitarian organizations or multi-cultural settings is desirable. Attention to detail and methodical organization skills are essential.
