Job Purpose
This role operates under the overall supervision of the Chief of Mission and the direct supervision of the Resource Management Officer. The Procurement & Logistics Assistant is responsible for carrying out various duties and responsibilities within IOM Dar es Salaam. The position contributes to the efficient and transparent management of procurement and logistics, ensuring compliance with IOM policies and procedures. This role is crucial for supporting the operational needs of the mission and safeguarding organizational assets, ultimately contributing to the effective delivery of IOM's mandate in the region.
Responsibilities
The Procurement & Logistics Assistant is responsible for organizing and overseeing all procurement activities in line with IOM policies, ensuring transparency and fraud prevention. This includes processing purchase requisitions, preparing bid analysis summaries, and issuing purchase orders. The role involves liaising with customs and revenue officials for consignment clearance and managing vehicle registration, taxes, and insurance. Additionally, the assistant will maintain an inventory and tracking system for all IOM assets, manage their disposal, and organize the maintenance of office equipment and utilities. The position also handles clearing and forwarding assignments, advising on import/export procedures, and assisting staff with necessary documentation.
Work Experience
Required experience includes International, Public Procurement, Contracts, and Supplier Management. Knowledge of the legal aspects of contract management is considered an advantage. The ability to work under pressure and meet deadlines is also essential for this role.
Skills
Strong computer skills, particularly in Microsoft Excel, Word, and Outlook.
