Organizational Context
The International Organization for Migration (IOM) is recruiting for multiple Assistant positions within its global recruitment team. The successful candidate will report to the Head of Recruitment Unit and the National Human Resource Officer, contributing to the efficient delivery of recruitment services for both professional and general service categories.
Job Purpose
The Recruitment Assistant will provide essential administrative and operational support to the global recruitment team, ensuring the efficient and effective management of all recruitment tasks. This role is crucial for maintaining the smooth functioning of the recruitment process, from initial vacancy posting and candidate screening to interview coordination and final background checks. By supporting the team in managing recruitment activities and providing timely communication to candidates, the assistant directly contributes to the organization's ability to attract and onboard qualified personnel, thereby supporting IOM's operational requirements and mandate.
Responsibilities
Provide comprehensive administrative support throughout the recruitment lifecycle, including posting vacancies, screening applications against minimum requirements, coordinating budget availability, developing prescreening questionnaires, scheduling interviews, and preparing routine candidate correspondence. Support the review of panel compositions for diversity and assign access to the recruitment platform. Assist in managing candidate data within the e-recruitment system, closing requisitions, and notifying unsuccessful applicants. Initiate background checks and verification processes. Compile and organize data for statistical recruitment reports. Assist in preparing and publishing recruitment-related content on social media platforms, adhering to established templates. Monitor and respond to basic inquiries received via email and social media, escalating complex issues as needed. Maintain recruitment trackers, candidate rosters, and social media content calendars. Collect and compile data on recruitment and social media activities for reporting. Backstop team members and perform other assigned duties.
Work Experience
Requires experience in recruitment operations and administrative support. Experience working within an international organization is considered an advantage.
Skills
High computer literacy, including experience with HR IT systems and applicant tracking systems (advantageous). Strong organizational and time management skills. Good verbal and written communication abilities. Capacity to work both independently and collaboratively within a team. Client-service orientation.
