Organizational Context
The International Organization for Migration (IOM) in Chad seeks a Human Resources Assistant in Ndjamena. This role operates under the supervision of the Human Resources Officer and Senior Human Resources Associate, collaborating with various units to manage essential human resources functions within the organization.
Job Purpose
The Human Resources Assistant is responsible for managing and supporting various human resources functions to ensure the smooth operation of the office. This includes providing clerical assistance, managing recruitment processes, maintaining accurate HR system data, and generating reports. The role also involves maintaining personnel files, assisting with correspondence, and supporting the organization of meetings and training events. The incumbent will contribute to efficient HR service delivery and support organizational objectives through diligent administrative and operational support.
Responsibilities
Provide comprehensive clerical assistance for human resources processes and activities. Support recruitment by circulating vacancies, arranging interviews, preparing materials, conducting reference checks, and communicating with candidates. Accurately input and maintain data in the organizational HR system, ensuring consistency and generating reports. Maintain organized electronic and hard copy personnel files and other HR documents. Assist in drafting, formatting, and retrieving HR-related reports, letters, and correspondence. Support the logistics for meetings, training, and HR events, including facility arrangements and material preparation. Perform other related duties as assigned to ensure efficient HR operations.
Work Experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Previous experience with WAVE is advantageous. Experience in organizing paperwork methodically, attention to detail, and discretion are important. Prior work with international humanitarian organizations or governmental institutions in a multicultural setting is beneficial.
