Job Purpose
The Operations Assistant (Data Processing) role is crucial for ensuring the accurate and efficient management of migration data within IOM's Movement Operations. This position supports the overall objectives of the organization by meticulously recording demographic and biographic information, processing essential travel documents, and maintaining the integrity of migration-related projects. By ensuring timely and accurate data handling and documentation, the role directly contributes to the safe and orderly movement of migrants, facilitating their journeys and providing vital support services. The assistant plays a key part in the operational flow, from initial request to final travel, ensuring compliance with IOM standards and procedures.
Responsibilities
Key responsibilities include accurately recording demographic and biographic information in the MiMOSA system upon receiving travel requests and confirming receipt to relevant parties. The role involves securing and accounting for travel documents according to Standard Operating Procedures (SOPs), ensuring secure data storage, and maintaining file confidentiality. Processing exit permits in coordination with supervisors and authorities, and ensuring the timely issuance and dispatch of travel documents are also critical. The assistant will prepare travel-ready documentation for Field Support colleagues and generate reports on service delivery timelines, highlighting any issues and suggesting solutions. Additionally, the role requires assisting in data mining reports to ensure MiMOSA accuracy and integrity, providing feedback to supervisors, and demonstrating a thorough understanding of Movement Operations SOPs and systems while upholding IOM's Code of Conduct and PSEA principles.
Work Experience
A minimum of five years of relevant working experience is required. Candidates with a bachelor's degree need three years of experience. Prior experience in Movement Operations or transportation is considered a significant advantage.
Skills
Proficiency in Microsoft Word, Excel, and internet usage. Experience with Movement Operations-related databases and systems such as iGATOR, MiMOSA, SAR, and Amadeus is highly advantageous.
