This role is situated within IOM's operations in Caracas, Bolivarian Republic of Venezuela.
Job Purpose
The Field Registration Assistant will play a crucial role in ensuring the timely and accurate execution of registration processes within IOM's operations in Caracas. By working closely with registration teams, supervisors, and program staff, this position directly contributes to the collection of reliable data. This data is essential for providing humanitarian assistance, informing operational planning, and supporting evidence-based decision-making for IOM's mission to assist and protect people on the move. The role supports IOM's commitment to fostering an inclusive and effective environment for migration management.
Responsibilities
The Field Registration Assistant is responsible for conducting individual and household registrations using digital tools and the Information Management System (IMS). This includes collecting, verifying, and updating beneficiary information accurately according to established procedures and SOPs. The role requires explaining the registration process to beneficiaries, obtaining consent, and ensuring respectful, impartial, and confidential interactions. Responsibilities also involve verifying documentation and eligibility, identifying and reporting data inconsistencies, and ensuring the accuracy and timely submission of collected data. The assistant will support population counts and verification exercises, report operational challenges and protection concerns, and manage registration equipment responsibly. Adherence to IOM policies on data protection, PSEA, AAP, and the "Do No Harm" principle is mandatory. Participation in trainings and meetings is also expected.
Work Experience
Experience in field data collection, registration, or beneficiary management is required. Proficiency in using tablets or mobile devices for digital data collection is also necessary. Experience working with affected populations or in humanitarian settings, as well as familiarity with registration systems like Kobo Toolbox, ODK, Survey123, or IMS, are desirable.
Skills
Proficiency in Microsoft Office (Excel, Word), ability to use digital data collection tools and mobile devices, strong interpersonal and communication skills, and meticulous attention to detail are essential. The role requires the ability to work effectively in multicultural environments, under pressure, and meet deadlines. Understanding of data protection and ethical data collection principles is important. Knowledge of IMS or similar registration systems is an asset.
