Job Purpose
The Senior Associate (IMS Registration) will provide technical and operational leadership to ensure timely, consistent, and high-quality registration processes. This role involves organizing workflows, guiding field teams, monitoring system use and data quality, and coordinating with various units to resolve operational and system issues. The position is crucial for generating accurate, secure, and reliable registration data, which is essential for effective programme implementation, operational planning, and evidence-based decision-making, all in strict adherence to IOM procedures, data protection principles, and established technical standards.
Responsibilities
Coordinate IMS registration activities in line with IOM standards and data protection principles. Plan, organize, and oversee registration exercises, including beneficiary, household, and individual registration. Configure and manage registration projects within the IMS, including user profiles, forms, and workflows. Monitor registration activities to ensure data completeness, accuracy, and timeliness, resolving operational issues affecting data quality. Supervise and train registration assistants and field teams, providing technical guidance and on-the-job support. Conduct data validation, deduplication, and quality assurance to ensure reliable datasets. Generate registration statistics and operational reports from the IMS. Liaise with Information Management, DTM, CCCM, Protection, and program teams to ensure registration data supports humanitarian response. Identify system improvement needs and coordinate with developers for enhancements. Ensure compliance with IOM data protection and responsible data management policies. Support the development of SOPs and training materials. Monitor user access and system utilization, escalating issues as needed. Support coordination with government counterparts and humanitarian partners.
Work Experience
Demonstrated experience in registration operations, information management, and beneficiary management systems. Experience administering or operating information management systems (IMS) or similar platforms. Experience with data validation, quality assurance, deduplication, and database management. Proficiency with digital data collection tools (e.g., Kobo Toolbox, ODK) and Microsoft Excel. Experience preparing operational reports and statistical summaries is required. Experience with government counterparts or humanitarian partners is advantageous.
Skills
Strong knowledge of registration methodologies and beneficiary data management. Proficiency in software development (PHP, HTML, jQuery, CSS, JavaScript) is desirable. Knowledge of SQL and data visualization tools (e.g., Power BI) is an asset. Excellent analytical, organizational, and problem-solving skills. Ability to coordinate multiple activities under tight deadlines. Strong communication and interpersonal skills. Ability to train and supervise field teams. Good understanding of data protection principles. Ability to work effectively in multicultural environments.
