Job Purpose
This role supports the Human Resources Officer in Pakistan under the Chief of Mission and Head of Resources Management. The position is accountable for executing various human resources functions, ensuring efficient and accurate HR operations. The incumbent will collaborate with relevant units at Headquarters and Administrative Centres to support the overall HR mandate of the organization. This includes managing recruitment processes, pre-employment activities, HR system data, attendance, leave administration, and personnel actions, contributing to the smooth functioning of the HR department and supporting staff well-being and compliance.
Responsibilities
The Senior Human Resources Assistant will manage recruitment processes, including guidance to hiring managers, drafting vacancy notices, screening applications, and participating in interviews. Responsibilities include coordinating pre-employment activities like onboarding documentation, medical exams, and induction sessions. The role involves performing HR system tasks, ensuring data accuracy, maintaining personnel records, and generating reports. Additionally, the assistant will monitor attendance and leave administration, prepare documentation for various HR actions (separation, classification, promotion), and coordinate with regional offices and headquarters. They will also manage HR document archiving, monitor performance evaluation compliance, and coordinate HR events and training activities. Providing information to staff on entitlements and assisting in resolving HR cases are also key duties, along with guiding junior staff and participating in inter-agency HR working groups.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is required. Previous experience with SAP is a distinct advantage. Experience in organizing paperwork methodically, attention to detail, discretion, and a client-oriented approach are important. Prior work experience in international humanitarian organizations or similar institutions in a multicultural setting is also advantageous.
