Job Purpose
The Human Resources Associate, under the supervision of the Chief of Mission and Head of Resources Management in Pakistan, and direct supervision of the Sr HR Associate, will be responsible for performing a variety of HR duties. This role involves supporting recruitment processes, coordinating pre-employment activities, managing HR system data, administering timekeeping and leave, and processing HR actions. The position also entails preparing reports, maintaining HR records, assisting with performance evaluations, organizing HR events, and providing information to staff on entitlements and procedures. The associate will contribute to improving HR processes and may provide guidance to junior staff.
Responsibilities
Assist in coordinating recruitment processes, including drafting Terms of Reference, posting vacancies, screening applications, and participating in interviews. Manage pre-employment activities such as EOD documentation, medical exams, and induction sessions. Perform HR system data entry and maintenance, ensuring accuracy and consistency. Administer timekeeping and leave records, generating reports and responding to staff inquiries. Process various HR actions, including separations, classifications, and promotions, coordinating with relevant IOM offices. Prepare personnel reports and routine correspondence, maintaining systematic electronic and hard copy archives of HR documents. Support the performance evaluation process by monitoring compliance and providing guidance. Organize HR events, including staff development and training, and maintain updated records. Provide information to staff regarding their entitlements and responsibilities, referring complex issues to supervisors. Identify areas for process improvement and assist in analyzing sensitive cases. Participate in inter-agency HR working groups and provide guidance to junior staff.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Previous experience with SAP is advantageous. Prior work experience with international humanitarian organizations, non-government, or government institutions in a multicultural setting is beneficial.
