Job Purpose
The Assistant Admin and HR role is based in Nouakchott, reporting directly to the Senior HR Assistant. The primary purpose is to provide administrative support for project activities. This includes assisting the Admin/HR unit with secretarial duties, contract and correspondence management, travel arrangements, and mission documentation. The role also supports recruitment processes, leave management, and maintaining personnel records, ensuring efficient HR operations within the IOM Mauritania office and contributing to the overall mission objectives.
Responsibilities
Provide administrative support for project activities, including secretarial tasks, contract and correspondence management, and travel arrangements. Assist with the management of mission documentation and support recruitment processes, such as posting vacancies, sorting applications, and coordinating interviews. Manage leave requests and monitor staff attendance, ensuring accurate record-keeping, particularly on SAP. Offer administrative support for filing and maintaining personnel and other unit-related records. Participate in training and onboarding of new staff. Maintain verifiable records of all HR files and e-filing systems, ensuring all national and international staff files are up-to-date and coordinating separation procedures. Provide logistical assistance for missions, training workshops, and other office activities. Maintain and ensure the filing of administrative documents. Perform any other tasks assigned by the supervisor.
Work Experience
Experience in migration issues, including internal and international migration challenges. Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint). Fluency in French and good knowledge of English are required. Knowledge of local languages is desirable.
