Job Purpose
This role supports the International Organization for Migration (IOM) in its mission to promote humane and orderly migration. The Programme Support Associate contributes to the effective implementation and monitoring of IOM's projects by providing essential administrative and programmatic assistance. The position involves coordinating project activities, managing information, and liaising with various stakeholders to ensure smooth project execution and delivery. By ensuring efficient administrative processes and timely reporting, the role directly supports IOM's efforts to assist governments and migrants, address displacement, and facilitate migration pathways, ultimately contributing to the organization's overarching goals in migration management and humanitarian assistance.
Responsibilities
Assist in the implementation and monitoring of project activities, including retrieving, compiling, summarizing, analyzing, and presenting project-related information and data. Monitor project budgets by verifying fund availability, obtaining necessary approvals, and updating budget information. Serve as a focal point for administrative coordination, liaising extensively with internal units and external parties to initiate requests, obtain clearances, and process administrative actions. Draft status reports, identify shortfalls, escalate issues to supervisors, and suggest remedial actions. Prepare and update project documentation, including correspondence, reports, briefing notes, and statistical tables. Respond to information requests, maintain files, and organize meetings and workshops. Participate in meetings with stakeholders to coordinate implementation activities. Assist in monitoring implementing partners and report non-compliance. Provide guidance and training to junior staff.
Work Experience
Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with vulnerable groups such as migrants, refugees, internally displaced persons, and victims of trafficking. Prior experience with international humanitarian organizations or in multi-cultural settings is advantageous.
Skills
Strong organizational and administrative skills, including purchase requisition follow-up. Strong interpersonal skills for effective working relationships with diverse backgrounds. Ability to deliver assistance in challenging conditions, demonstrating adaptability and good judgment. Good written and verbal communication skills, with report-writing capabilities. Proficiency in MS Office (Word, Excel) and case management tools.
