Job Purpose
The Project Assistant - Reintegration plays a pivotal role in supporting the effective and efficient implementation of projects focused on the reintegration of vulnerable populations. This position is instrumental in ensuring that project activities, particularly those under the Protection Unit, are executed smoothly and contribute meaningfully to IOM's broader mandate. The core purpose involves providing comprehensive administrative, operational, and data management support, which includes retrieving, compiling, and presenting critical project information. The assistant will actively monitor project budgets, verify fund availability, and secure necessary approvals, thereby ensuring financial prudence and resource optimization. Furthermore, the role requires supporting administrative coordination, liaising with diverse organizational units and external partners to streamline processes and follow up on administrative actions. By drafting status reports, identifying shortfalls, and organizing key meetings and training sessions, the Project Assistant directly contributes to the successful delivery of reintegration initiatives, ultimately enhancing IOM's capacity to assist migrants, refugees, and internally displaced persons in their return and reintegration processes.
Responsibilities
The Project Assistant will actively contribute to the successful implementation and diligent monitoring of project activities, ensuring all tasks align with project goals and timelines. A core responsibility involves the systematic retrieval, compilation, summarization, and clear presentation of information and data pertinent to specific project topics, facilitating informed decision-making. The role also encompasses meticulous budget monitoring, including verifying the availability of funds, securing necessary approvals, and consistently updating budget-related information to ensure financial prudence and accountability. Significant administrative coordination is required, involving proactive liaison with diverse internal organizational units and external partners to initiate requests, obtain essential clearances, and efficiently process and follow-up on administrative actions. The assistant will be responsible for drafting comprehensive status reports, promptly identifying and bringing any shortfalls in delivery to the attention of the supervisor. Furthermore, the role entails preparing various forms of documentation, such as professional correspondence, detailed reports, concise briefing notes, informative graphics, statistical tables, and engaging presentations. Organizing and facilitating meetings, workshops, and training sessions is also a key duty. The assistant will manage general information requests and inquiries, and diligently set up and maintain accurate files and records. Other related duties will be performed as assigned to support overall project objectives.
Work Experience
Required experience includes liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations. Candidates should have experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups. Prior work experience with international humanitarian organizations, non-government, or government institutions in a multi-cultural setting is considered an advantage.
Skills
Key skills include experience in the relevant field and working with vulnerable groups. Proven experience in emergency settings and providing protection activities is essential. Candidates should demonstrate strong analytical, interpersonal, mediation, and organizational skills, alongside excellent computer literacy.
