Organizational Context
IOM, a UN-related organization, leads in migration, promoting humane and orderly movement. The Senior Medical Associate role is within the Migration Health Assessment Centre (MHAC) in Dushanbe, Tajikistan. This position oversees the Call Centre and Data Processing/registration teams, providing vital information and processing services to migrants under the supervision of the Chief of Mission and Chief Migration Health Officer.
Job Purpose
The Senior Medical Associate's primary purpose is to ensure the efficient and effective operation of the Migration Health Assessment Centre (MHAC) Call Centre and Data Processing/registration teams in Dushanbe, Tajikistan. This involves overseeing the provision of accurate and timely information regarding Health Assessment Programs and other IOM services to migrants, facilitating seamless applicant processing, and managing essential routine administrative functions, including switchboard operations and handling diverse inquiries. The role is crucial in delivering direct assistance to refugees and immigrants, ensuring their smooth interaction with IOM services. By supervising and training Medical Associates, developing and maintaining Standard Operating Procedures, and contributing to data analysis, the incumbent significantly enhances customer care, operational integrity, and overall efficiency within the MHAC, thereby directly supporting IOM's broader mandate to promote humane and orderly migration for the benefit of all.
Responsibilities
The Senior Medical Associate organizes and assigns duties for Medical Associates, actively participating in daily work planning and scheduling. Key responsibilities include developing and maintaining the MHAC’s Standard Operating Procedures (SOPs) and supervising and training junior MHD staff to ensure compliance. The role involves assisting in analyzing migrant flow and satisfaction, preparing medical forms and daily health assessment schedules, and ensuring a well-organized reception area. The incumbent provides accurate information to applicants, assists in fraud prevention, and manages the reception, updating, and forwarding of medical deferrals, x-rays, and other documents. They oversee the completion and secure transmission of medical forms and DNA packages to partners, ensuring correct contacts and tracking. Further duties include updating MHD information, preparing monthly health assessment statistics, and drafting correspondence for MHAC queries. The Associate also manages data, creates queries for information retrieval, provides IT/Database support for mobile health assessment missions and regional needs, and suggests improvements for internal control mechanisms and procedural efficiencies.
Work Experience
Required experience includes managing large, dynamic teams, particularly with a customer service, IT, or administrative background, and knowledge of data management principles. High computer literacy in Windows and MS Office is mandatory. Desirable experience includes a Certificate in IT/Data entry, knowledge of customer care, in-depth use of MS Office for data collection/manipulation, knowledge of medical terminology, previous secretarial/archival experience, and prior work with NGOs or international organizations.
