Organizational Context
The International Organization for Migration (IOM), a UN-related organization since 1951, promotes humane and orderly migration. In Mongolia, IOM supports the Embassy of the Republic of Korea (ROK) by providing administrative visa services at the Visa Application Centre (KVAC) in Ulaanbaatar, enhancing the efficiency and convenience of the visa application process for applicants.
Job Purpose
The incumbent will assist visa applicants with the submission of their visa applications and the return of their passports upon completion of processing. This role operates under the overall supervision of the KVAC Team Leader and the direct supervision of the KVAC Supervisor. The primary function is to ensure a smooth and efficient visa application experience for clients, adhering strictly to the procedures and standards set by the ROK Embassy, thereby contributing to the effective operation of the KVAC and IOM's commitment to providing quality services to migrants and governments.
Responsibilities
Provide excellent service to visa applicants, strictly adhering to ROK government requirements and standards. Verify applicant identities and provide accurate, timely information regarding visa applications, forms, and value-added services via in-person, phone, and email. Collect and sort applications, ensuring completeness of forms and supporting documents. Accurately input data into the IOM case management system and ROK visa portal, generate receipts, and track documentation via scans. Verify fee payments, reconcile daily collections, and manage cash securely. Conduct document verification and report findings. Prepare and distribute reports, conduct quality checks, and generate daily operational reports. Manage application and passport logistics with courier services, ensuring secure and accurate transfers. Maintain expertise in all relevant ICT solutions and report operational issues or suggestions for improvement to management.
Work Experience
Experience is required in migrant-related programs or visa services, along with demonstrated customer service experience. Prior working and living experience in Korea is considered an advantage.
Skills
In-depth knowledge of migration-related subject areas; proficiency in ICT solutions including IOM case management system, ROK visa portal, appointment scheduling, and passport tracking modules; strong customer service and communication skills.
