Job Purpose
The Human Resources Assistant (G-4) in Caracas, Venezuela, plays a crucial role in supporting the organization's HR functions. This position is vital for ensuring the smooth operation of recruitment, pre-employment activities, and HR system management. The role contributes to maintaining accurate employee data, managing entitlements, and supporting various HR processes, including onboarding and separations. By ensuring efficient HR administration, the assistant helps IOM effectively manage its workforce and deliver on its mandate of assisting migrants and displaced persons.
Responsibilities
The Human Resources Assistant will support recruitment by coordinating vacancy publications, screening applications, scheduling interviews, and managing candidate communications. Responsibilities include managing pre-employment processes such as preparing documentation, coordinating medical exams, and facilitating onboarding. The role involves maintaining HR system data accuracy, monitoring contractual status, and generating reports. Additionally, the assistant will act as a Timekeeper, managing leave quotas and providing guidance on leave administration. Support will be provided for separation, classification, and promotion processes, including document collection and drafting. The position requires maintaining physical and electronic HR archives, drafting HR-related correspondence and documents, and updating organizational charts. Logistical support for HR meetings and training, responding to HR inquiries, and performing other assigned duties are also key responsibilities.
Work Experience
Required experience includes proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Previous experience with SAP is advantageous. The role requires attention to detail, methodical organization of paperwork, discretion, a client-oriented approach, patience, and a willingness to learn. Prior work experience in a multicultural setting with international humanitarian organizations or governmental institutions is beneficial.
