Job Purpose
The Supply Chain Associate (Logistics) at G-5 grade plays a crucial role in supporting IOM's mission by ensuring the efficient and effective management of procurement and logistics operations. This position contributes to the organization's ability to provide timely humanitarian assistance and services to migrants and displaced persons. By managing procurement processes, coordinating deliveries, and maintaining accurate records, the role directly impacts the operational capacity of IOM in Venezuela, enabling the organization to respond effectively to migration challenges and support its partners in achieving their objectives. The position is vital for maintaining the supply chain integrity and operational continuity of IOM's programs.
Responsibilities
The Supply Chain Associate is responsible for managing the end-to-end procurement process, including receiving and verifying requisitions, preparing tender documents, soliciting bids, and coordinating with selected suppliers. This involves monitoring open requisitions, confirming terms of agreement, and preparing purchase orders or contracts. The role also includes coordinating timely delivery of goods and services, obtaining satisfactory delivery notes, and reviewing vendor invoices for payment processing. Maintaining accurate physical and electronic records of all procurement documentation is essential. Additionally, the associate will conduct market surveys to identify new suppliers, manage contractual agreements, monitor office supplies, and coordinate utility payments. The position involves performing supply chain tasks related to asset management, warehousing, and transportation, including coordinating fleet operations. The associate will also provide guidance and training to junior staff and perform other assigned duties.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and managing asset processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, and working within an international organization, are considered advantageous.
Skills
Proficiency in computer literacy is essential. The role requires the ability to work effectively with national and international institutions, prepare clear and concise reports, and possess excellent communication and negotiation skills. The ability to establish realistic resource requirements to meet IOM needs is also important. Fluency in Spanish (oral and written) is required.
