Job Purpose
The Supply Chain Associate (Inventory) role is crucial for ensuring the efficient and effective management of inventory within IOM's operations in Caracas, Venezuela. This position supports the organization's mandate by maintaining accurate records of goods, coordinating deliveries, and managing procurement processes. The associate will contribute to the smooth functioning of IOM's logistical operations, ensuring that resources are available when and where needed to support migrants and displaced persons. By performing essential supply chain tasks, the role directly impacts IOM's ability to deliver timely and effective assistance, upholding the organization's commitment to humanitarian principles and operational excellence in migration management.
Responsibilities
The Supply Chain Associate (Inventory) is responsible for managing procurement requisitions, verifying compliance, and assisting with complex purchases. This includes preparing tender documents, soliciting bids, and coordinating with selected suppliers to finalize purchase orders and contracts. The role involves monitoring the status of requisitions, ensuring timely delivery of goods and services, and coordinating with receiving units for confirmation. Responsibilities also extend to reviewing vendor invoices, preparing payment requests, and liaising with the Finance Unit for timely payments. Maintaining accurate physical and electronic records of all procurement documentation and preparing periodic reports are key duties. The associate will conduct market surveys to identify and evaluate potential suppliers, manage contractual agreements, and monitor office supplies. Additionally, the role involves performing supply chain tasks related to property and asset management, warehousing, and coordinating fleet operations. Providing training and guidance to junior staff is also part of the role.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and asset management processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, as well as experience working in an international organization, are considered advantageous.
Skills
High level of computer literacy; ability to work with national and international institutions; ability to prepare clear and concise reports; excellent communication and negotiation skills; ability to establish realistic resource requirements. Fluency in Spanish is required, and fluency in English is desirable.
